Toast has a new accounting option to handle order-ahead/pre-paid orders in Toast POS. These are handled in Shogo as two events.
1). Prepay: A Prepay will be accounted for on the date on which the order is paid and represents the amount of money you collected from the customer but for which there is no actual sale (yet).
2). Payment Exception: A Payment Exception will be accounted for on the date on which the order is actually fulfilled and represents the accounting recognition of the sale for which you were paid on an earlier date.
Please note that if you are using this feature in Toast, you will need to update your accounting mapping in Shogo accordingly.
To update your mapping, please go to app.shogo.io
>Settings>Accounting>(select View Details if you have more than one location):
>Other Charges>Prepay(an accounting credit)=the sales for which you were paid today but you will not fulfill until some later date
>Payments>Payment Exceptions(an accounting debit)=the fulfilled amount of sales that were paid for on some previous date
(NOTE: most customers will map the above to the same account as these items should eventually clear each other out over time).
The sample accounting entries that are created would resemble the following (depending on what tender type was used to place the order and what was ordered- this example uses CREDIT_CARD and FOOD SALES).
On the order-ahead/prepaid date:
Credit: PREPAID accounting mapping
On the date on which the order is fulfilled:
Debit: Payment Exception mapping
Credit: FOOD SALES
